How it works

The worker stays with you, not the agency

In permanent recruitment, the contract binds the worker directly to your company. The employment agency handles candidate sourcing, screening for the position and facilitating employment; for workers from abroad, also residence and work legalisation. After signing the contract, you shape the relationship with the worker, remuneration and development path.

This model makes sense where the need is lasting and the company wants to build its own team. You limit the turnover forced by the temporary work model and do not pay for HR administration of someone who will stay for years anyway. In return, you take on employer obligations from the first day of employment.

What we do before signing the contract with the worker

Recruitment of manual workers from abroad is in practice two parallel processes: selecting people and the administrative procedure.

Position profile

We define the scope of duties, required qualifications, shift system and conditions you offer. We record the actual working conditions so the candidate does not hear a promise the position cannot fulfil. This is the cheapest way to limit departures in the first weeks.

Candidate sourcing

We reach manual workers from Asia, Africa, Latin America and Eastern Europe as well as candidates already in Poland. We use our own database and launch recruitment for the specific assignment. We do not charge candidates or our foreign partners any fees for access to offers.

Verification and selection

We check experience, qualifications and documents, and for foreign nationals also the residence title. We present candidate profiles together with information on the available start date. You make the employment decision.

Employment legalisation

We run the statement procedure (oświadczenie o powierzeniu pracy) or the work permit application, and for Ukrainian citizens with a PESEL UKR number the notification-based pathway. The procedure takes from 2 to 7 months. We monitor extension deadlines after employment has started.

Arrival and accommodation

We organise the employee's arrival and help find accommodation on favourable terms. We assist with the initial formalities: registration, bank account and PESEL number.

Adaptation and language

Every worker has a coordinator from day one, and we run the Polish language and industry-specific course in-house. A shorter adaptation period means a lower risk of the worker leaving in the first months.

How permanent recruitment works

From demand to the first day of work. For workers from abroad, the administrative procedure determines the timeline.

Requirements and conditions

You provide the positions, number of people, requirements and employment conditions. We agree on the cooperation rules and agency remuneration. We indicate a realistic staffing timeframe for each legalisation pathway.

Recruitment and selection

We run recruitment and verification of candidates. You receive profiles for acceptance; if needed, we organise remote interviews with interpretation. We agree with the candidate on the conditions they actually accept.

Legalisation

We complete documents and run the proceedings: the statement procedure at the district labour office or a work permit application submitted to the voivode (wojewoda). We inform you about the case status and any changes to the deadline.

Arrival and employment

We organise arrival and accommodation, and you sign the contract with the worker. We hand over the complete set of documents needed for ZUS registration and the personnel file. From that moment, the worker is your employee.

First months

A coordinator supports the worker with formal and everyday matters, and you have one point of contact when something needs clarification. The rules for situations in which the worker leaves early are set out in the contract before recruitment starts.

On what basis the employment agency operates

The activity of the agency and the KRAZ register are regulated by the Act of 20 March 2025 on the Labour Market and Employment Services, which replaced the earlier Act on the Promotion of Employment and Labour Market Institutions.

Permanent recruitment pays off when the need is lasting. For short-term order peaks, a different solution is better.

FAQ

Employer questions about permanent recruitment

You most often ask about fees, timeframes and what happens when a worker leaves.

Can the agency charge fees to the candidate?

Not for finding work or for mediation. The Act permits charging a person seeking employment only strictly defined costs. If an intermediary demands payment from a candidate for employment, this is a warning signal for the employer as well.

How long does the procedure take before the worker starts?

Legalisation of a foreign national's employment usually takes from 2 to 7 months, depending on the chosen pathway and citizenship. The fastest is the statement procedure for citizens of Armenia, Belarus, Moldova and Ukraine. A work permit issued by the voivode takes longer. You must also factor in time for a national visa, if required, and for travel.

Can I hire a Georgian citizen under the statement procedure?

No. From 1 December 2025, Georgia is not covered by the statement procedure, so its citizens need a work permit. Statements registered earlier remain valid until the end of the period for which they were entered.

Who pays the administrative fees for legalisation?

The employer covers the administrative fees. A statement on entrustment of work costs 400 PLN, a work permit costs 200 PLN for a period up to 3 months and 400 PLN for over 3 months. These are one-off costs, independent of the agency's remuneration.

What happens if the office issues a refusal decision?

This situation is possible and we discuss it before starting, because arrival and administrative fee costs are already incurred by then. We limit the risk by checking documents and grounds before submitting the application and by matching the pathway to the candidate's citizenship. How such a situation is settled is written into the contract.

What does candidate verification cover?

We check experience in a similar position, required qualifications, readiness for shift work and residence documents. For positions requiring specific qualifications, we ask for confirmation before presenting the candidate.

Do you help with accommodation?

Yes. We help find accommodation on convenient terms and support the employee with initial formalities after arrival. We set accommodation funding rules individually, as in some companies the employer covers it.

What happens when a worker leaves after a short time?

We write the conditions for such a situation into the contract before recruitment begins, together with the rules for replacement of the candidate. We always check the reason for leaving, because most often it results from a mismatch between the promise and the realities of the position.
